Exports & archive

Every show you produce stays in OnAirFlow. The archive gives you a browsable, searchable history of shows and stories with simple analytics on top, and any show can be exported as a Markdown, PDF, or Word file — for the talent who wants a paper rundown, the client who wants a record, or the archive folder your station keeps anyway.

Exporting a show

From the board, open the show options menu (the three-dot button in the header) and choose a format:

• Export Markdown — a plain-text .md file, easy to paste anywhere.
• Export PDF — a formatted document for printing or sending.
• Export DOCX — a Microsoft Word file.

The file downloads immediately, named after the show date (for example show-2026-08-15.md). All three formats are included on every plan.

An export contains the full rundown: the show title, date, and status, and every story grouped by board column — with each story's notes, type, assigned host, and its planned and actual durations where timing was recorded. Overtime stories are flagged, so the export doubles as a post-show timing record. Through the API, exports can additionally include a timing statistics section.

Browsing the archive

Open Archive from the main navigation. It has three tabs:

• Shows lists past shows newest-first with their story counts. Filter by date range, and page through your full history.
• Stories lists individual stories across all shows. Search titles and notes, and filter by host, type (National/Local), and date range. Each result shows which show and date it came from.
• Analytics summarizes the selected date range: total shows and stories, a breakdown of stories by type, and per-host counts with total assigned duration.

Shows can be deleted from the archive if you no longer need them. Deletion is permanent, so export first if you want a record.

Reusing old material

The archive is not just a record — it is where old stories come back. Searching the archive is the fastest way to find how you covered something last month, and when you create a new show you can copy stories from any past show. Stories left in a show's Story Ideas or Backlog column are carried into the next show automatically (see Templates & auto-schedule).

What is kept, and for how long

Shows, stories, comments, and attachments remain in the archive indefinitely — there is no automatic deletion of your editorial content on any plan.

Two kinds of operational data are pruned on a schedule that depends on your plan: the on-air event log (the record of clock starts, pauses, story-live changes, and similar live events) and daily analytics snapshots. These are retained for 7 days on Creator, 30 days on Studio, and 90 days on Newsroom.

Practical notes

• Exports reflect the board at the moment you export. Export after the show ends if you want final actual durations and overtime flags included.
• Attachments are not embedded in exports; the export covers the rundown text and timing.
• Everything in the archive is scoped to your organization — search and exports never cross into another team's data.
