Getting started

Sign up, set up your organization, create your first show, and go live.

OnAirFlow runs entirely in the browser at app.onairflow.com. You sign up, build a rundown for today's show, invite your team, and press start when you go on air. Everything your team does — moving stories, editing notes, starting the clock — syncs to everyone else in real time over a live connection, so the whole crew is always looking at the same rundown.

Sign up

Go to app.onairflow.com/signup. Every new account starts with a 7-day free trial, and no credit card is required. Onboarding has four steps:

  1. Account — enter your name, email, and password, plus your organization's name. OnAirFlow suggests a workspace URL from the name; you can edit it. Accept the Terms of Service and Privacy Policy, then continue.
  2. Setup — pick your timezone, the days of the week your show runs, and a show title format (for example, Live Show - {date}). OnAirFlow uses these to create a fresh show automatically on your show days. You can change all of this later in Settings, or skip this step.
  3. Team — invite up to 20 teammates by name and email, each with a role: Host, Producer, or Admin. You can skip this and invite people later.
  4. Plan — pick Creator ($19, 1 seat), Studio ($59, up to 5 seats), or Newsroom ($149), or click Continue with free trial to decide later.

Create your first show

After onboarding you land on the rundown board, which loads today's show. To create a show for another date, open the show options menu (the three-dot button in the board header) and click New Show. Pick a date and title, and optionally copy stories from a recent show — all of them, only selected columns, or none. See The rundown board for a full tour.

Add stories to columns

Click the Story button in the board header to open the story editor. Give the story a title, pick a type and a column, set a planned duration, assign a host, and add notes. Click save and the card appears on the board. Drag cards between columns by their grip handle as stories move through your workflow — every move is visible to your whole team instantly.

Invite your team

Go to Settings, then under Team & Access open User Management to invite and manage team members (admin only). Each person gets a role — host, producer, or admin — and you can customize exactly what each role is allowed to do under Permissions.

Go live

When it's showtime, use the master clock in the board header:

  • Click Start to begin. The status badge switches from READY to LIVE and the show timer starts counting.
  • Click Set Live on a story card to put that story on air. It gets a red LIVE badge, and the host view and teleprompter follow it automatically.
  • Use Add to Queue on cards to line up what comes next, then advance with the Next Story button.
  • Pause and Resume control the clock mid-show; End wraps the show. Both pause and end have an undo button if you hit them by accident.

During the show, producers typically run things from the producer view, hosts read from the host view and teleprompter, and anyone who needs to get a message on someone's screen fast uses flash messages.
